Who processes the data: Anthropic PBC (USA), acting as our processor under a Data Processing Agreement.
Legal basis: Performance of our contract with you and our legitimate interest in efficient, accurate data entry (Art. 6(1)(b) and (f) UK GDPR). These features are optional. You can always enter the information manually instead.
International transfer: Anthropic processes data in the United States. This transfer is safeguarded by the EU Standard Contractual Clauses and the UK International Data Transfer Agreement (Art. 46 UK GDPR).
Retention and AI training: Anthropic does not use data submitted through its commercial API to train its models, and deletes inputs and outputs within 30 days. We do not store the uploaded image after processing; extracted details are only saved if you choose to save the record.
Document photographs: A driving-licence image may contain a photograph. We process it solely to read the printed details, not to identify anyone biometrically.

All application data is stored on servers operated by Hetzner Online GmbH in Germany (Falkenstein/Nuremberg). The web application is delivered via the Cloudflare network (global CDN infrastructure), which processes HTTP requests and IP addresses.
For UK users, storage of data on servers in Germany constitutes an international data transfer under UK GDPR. This transfer is covered by the UK adequacy decision for the EU. Where other subprocessors process data outside the UK or EU (SendGrid, Stripe, Microsoft, Google, Anthropic, Linear), appropriate safeguards are in place.

Controller. Buildhaus Group Limited, registered in England and Wales, company number 17294701, trading as FleetSight. Contact details are in section 1.
Who we contact. We contact people in a professional capacity at businesses that operate vehicle fleets, for example an operations manager, office manager or owner. We do not knowingly send marketing email to private individuals, and we do not use home or personal addresses.
What we hold. Your name, job role and business email address, together with your employer's name, registered number, region and, where it is published, the number of vehicles it is authorised to operate.
Where we got it. From two kinds of source. Publicly accessible sources: the GB Operator-Licence register published by the Driver and Vehicle Standards Agency, Companies House, published trade and professional registers, and the company's own website. And from a commercial business-contact database, Apollo.io, which compiles professional contact details and is not a public register.
Why we are allowed to process it. Our legitimate interest in offering a relevant business product to organisations that are likely to need it (Art. 6(1)(f) UK GDPR, or EU GDPR where that applies to you). We have carried out and documented a balancing test, and we will provide it on request. We do not process special-category data.
No automated decision-making. We do not make decisions about you by solely automated means that produce legal effects concerning you or similarly significantly affect you.
Who else sees it. Instantly (Foo Monk LLC), 30 N. Gould St., Ste. R, Sheridan, Wyoming 82801, USA, sends our email on our behalf as our processor. Your data is processed in the United States, safeguarded by EU Standard Contractual Clauses and the UK International Data Transfer Agreement. Some of its sub-processors are also established outside the EU and the UK under the same safeguards.
How long we keep it. We erase your record twelve months after we first contact you, unless you become a customer. If you object before then, we act immediately.
Your rights, and the one that matters most here. You have the right to object to this processing at any time (Art. 21). If you object, we will stop contacting you and erase your prospect record. To honour the objection we keep the minimum necessary (a one-way hashed record of your email address on a permanent suppression list) so that we cannot contact you again by mistake. You also have the rights of access, rectification, erasure and restriction of processing. Every email we send carries an unsubscribe link. You may complain to the Information Commissioner's Office in the UK, or to the data protection authority for your country.
